Who we are

PropFinance ("we", "us", "our") is a property finance and tax compliance platform for UK landlords, operated by PropFinance Ltd. We are the data controller for the personal data we collect through this service.

What data we collect

We collect the following categories of personal data:

Account data

Your email address and full name, provided when you register.

Property data

Property addresses, purchase prices, tenancy details, and compliance information you add.

Financial data

Income, expense transactions, mileage records, and tax report data you enter.

Billing data

Subscription and payment information processed by Stripe. We never store card details.

Usage data

Pages visited, features used, and error logs to help us improve the platform.

  • Send transactional emails (magic link sign-in, compliance alerts, daily digests)
  • Process subscription payments via Stripe
  • Generate tax reports and MTD exports based on your records
  • Improve and develop the platform
  • Respond to support enquiries

Data retention

We retain your personal data for as long as your account is active. If you delete your account, we will delete your personal data within 30 days, except where we are required to retain it by law (e.g. financial records for HMRC purposes).

Under UK GDPR, you have the right to:

Correct any inaccurate personal data we hold.

Request deletion of your personal data (right to be forgotten).

Restrict how we process your data in certain circumstances.

Data security

We take reasonable technical and organisational measures to protect your data, including encrypted connections (HTTPS), secure database storage via Supabase, and strict access controls. However, no system is completely secure and we cannot guarantee absolute security.

Cookies

PropFinance uses cookies strictly necessary to operate the platform, including session authentication cookies. We do not currently use third-party tracking or advertising cookies.

Changes to this policy

We may update this Privacy Policy from time to time. We will notify you of significant changes by email. Continued use of PropFinance after changes constitutes acceptance of the updated policy.
